DWS Collective

Privacy Policy

Last updated:

DWS Collective is operated by DEE Workforce Solutions, LLC. ("DWS", "we", "our"). We provide remote professional support to businesses and individuals and accept applications from freelance talent. This policy explains how we collect, use, store, and share information through our website, internal staff tools, and connected services.

Information We Collect

When you submit a business or contact inquiry, we collect your name, email address, message, and any phone number, requested service, executive support tier, or training specialization you provide.

When you submit a talent application, we collect your name, email address, introduction, and areas of expertise, together with any location, experience, skills, availability, preferred work, portfolio link, CV, or supporting file you provide.

We retain related correspondence, meeting details, and internal notes so our team can follow up on your submission. Authorized staff accounts also contain profile information, sign-in credentials in hashed form, and account activity records.

Technical information, including network addresses and verification results, is processed to limit abusive requests, protect staff sessions, and operate the website. Business visitors and talent applicants do not need a public account, and the forms do not collect payment information.

How We Use Your Information

Business and contact information is used to understand your request, respond, prepare a support proposal, or discuss a training package. Talent information is used to review your application and communicate about relevant opportunities.

We also use this information to send submission confirmations, keep related replies together, arrange meetings, send meeting updates and reminders, and maintain a record of the team's follow-up actions.

We do not sell personal information or use inquiry and application details for automated marketing without your consent.

Google Calendar and Google Meet

DWS Collective connects to a Google Calendar account authorized by the DWS meeting organizer. Business visitors and talent applicants do not need to grant access to their own Google accounts to submit a form or receive a meeting invitation.

Our internal scheduling tools use Calendar access to read free/busy time ranges to check availability and create, retrieve, update, or cancel events for DWS meetings. Meeting events contain the attendee's email address, meeting title and description, start and end times, timezone, Google Meet details, and a secure reschedule link. Google sends the event invitation and subsequent event updates to the attendee.

Our database stores the meeting information needed for follow-up: its associated inquiry and attendee, title, description, schedule, timezone, Google event identifier, Meet link, status, and reminder or reschedule records. Calendar free/busy responses are used to calculate available times; we do not keep a separate copy of the organizer's calendar or import the titles and descriptions of unrelated events.

The organizer's authorization token is held in server-side configuration to maintain this connection. Access is used for meeting scheduling and communication, not to analyze unrelated calendar activity.

Email Communication

When a DWS Google Workspace mailbox is connected, our internal communication tools send confirmations, team replies, meeting reminders, and reschedule confirmations through that mailbox. They check incoming mail for replies linked to an existing inquiry or application.

For matched replies, we store the sender and recipient addresses, subject, message text, message identifiers, timestamps, and any related attachments in the inquiry conversation. Authorized DWS staff can read these conversations to respond to the person who contacted us. Messages that cannot be matched to a submission are not imported into the inquiry dashboard.

Website Analytics and Cookies

Essential cookies and browser storage support staff sign-in and remember your cookie preferences. When website analytics is configured and you accept analytics cookies, Google Analytics receives public page visits and submission event types to help us understand website usage.

Our analytics events include public page addresses, page titles, referral information, and the type of form submitted. We do not put names, email addresses, form answers, uploaded files, internal submission identifiers, or private dashboard page addresses into these events. Our website disables advertising personalization and Google Signals for its tracking configuration.

The staff dashboard uses authorized Google Analytics and Search Console properties to retrieve reporting metrics such as visitor and page-view counts, traffic sources, devices, popular pages, and Google search queries, impressions, and clicks. These reports help us assess the website's performance. They are separate from the Calendar organizer's authorization.

You can change your analytics choice through the website's cookie controls. Google also processes information under its own privacy policy.

Use of Google User Data

DWS Collective uses Google user data to provide the scheduling, communication, and reporting features described in this policy. DWS Collective's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

We do not sell Google user data, transfer it to advertising platforms or data brokers, use it for personalized advertising or credit decisions, or use it to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.

Who Receives Information

Authorized DWS staff access submission and meeting records to provide support and manage conversations. Meeting details are shared with the organizer and invited attendee through Google Calendar and Google Meet.

Google processes information for Calendar, Meet, Workspace email, Analytics, and Search Console as applicable to the enabled features. DigitalOcean provides application hosting, database infrastructure, and storage for uploaded files and correspondence attachments. These providers process information needed to deliver their services.

We may disclose information when required by applicable law or when necessary to investigate abuse and protect the service. External images, including images served by Unsplash, may cause your browser to contact the image provider. Those providers have their own privacy policies.

Data Storage and Security

The production website uses HTTPS, and connections to Google APIs and the configured mailbox use encrypted transport. Inquiry records and uploaded files are accessed through authenticated staff routes rather than public file listings.

Google authorization tokens and service credentials are kept in server-side configuration and are not sent to visitors' browsers. Access controls, password hashing, session checks, and request limits help protect account and submission information.

No system can guarantee absolute security. We take reasonable measures to protect the information processed by the service.

Retention and Deletion

We retain inquiries, applications, correspondence, and associated meeting records for as long as needed to handle the request, maintain relevant business communications, protect the service, or meet applicable legal requirements. A completed or archived submission remains stored until it is deleted; archiving is not deletion.

To request deletion of your submission, uploaded files, correspondence, or associated Google meeting data that DWS controls, email info@dwscollective.com. Identify the email address used for the submission and the records concerned. We may need to verify your identity before acting, and will explain any information that must be retained.

Removing a record from the DWS dashboard does not automatically remove every copy in Google Calendar, the connected mailbox, or an attendee's own account. Please identify these copies in your request so we can address records we control. Copies held by another person or provider remain subject to that party's controls and policies.

Disconnecting Google Access

The Calendar organizer can revoke DWS Collective's authorization through their Google Account's third-party connections settings. Revoking authorization stops future Calendar API access and prevents our scheduling tools from managing meetings through that connection.

Revocation does not delete meeting events, past messages, or records already stored by DWS. Email info@dwscollective.com to request deletion or to have the connection's stored credentials removed. A website visitor or meeting attendee can also contact us to cancel a meeting or request removal of their details without having authorized a Google connection.
